The First Response to the Customer

The manager is busy.
The menu is already helping the caller.

During Business Hours

The customer does not need to explain to a receptionist which department they need. They hear a short greeting and select the topic of the call using the phone keypad.

After Business Hours

IVR can announce business hours, play useful information, or invite the caller to leave a voice message according to the configured scenario.

What Is IVR

Navigation Through Your Company
by Phone

IVR (Interactive Voice Response) is an interactive voice menu. It plays recorded prompts and performs an action based on the customer’s selection using touch-tone input.

The system helps route incoming calls, answer recurring questions, and collect messages. The menu logic reflects the company’s structure and business processes.

One Choice — the Right Action

Connect the caller to a department, play an informational message, or record an inquiry. Each menu option has its own route.

Example Scenario

How a Customer Uses the Voice Menu

An example for a company with sales, support, and delivery departments. Menu labels and actions can be customized.

“Hello! You have reached our company. For a consultation, press 1; for support, press 2; for delivery questions, press 3.”

Press 2

Support

Route the call to service and technical support specialists.

Press 3

The scenario can also include no selection, an invalid key press, busy employees, and after-hours handling.

For Different Business Needs

Where Voice Menus Are Used

Support Teams and Call Centers

Routing by inquiry topic, informational messages, transfers to specialists, and collection of service ratings.

Clinics and Service Companies

Business hours, connection to reception or the required department. Automated appointment booking requires a separate integration.

Delivery and Logistics

Connection to the delivery department and answers to common questions. Personalized shipment status can be implemented through integration with the accounting or logistics system.

Stores and Sales Departments

Consultations, purchase information, department selection, and call forwarding to the responsible manager.

IVR and Virtual PBX

The menu is part of the overall
call-handling scheme

The Virtual PBX connects corporate numbers, employees, and call routes. IVR helps the caller select the right destination within this system.

With additional features connected, you can use call recording, call details, and CRM integration. The ability to change menu options, audio files, and scenarios through the customer portal depends on system settings and access rights.

What Can Be Configured

  • Different actions during and outside business hours.
  • Routing to a department, queue, or employee.
  • Information the customer can hear without an operator.
  • Call handling when no one answers.

Not every call has to go through the menu. We will design the routing based on the customer’s task.

Scenario and Voiceover

Your Company Voice Starts with the Script

Clear Menu Options

First, we identify the main reasons customers call and the responsible employees. Then we create a short greeting with simple menu option names.

We avoid overloading the first menu with unnecessary levels. For complex questions, we provide a clear route to an employee.

The Right Voice and Language

We can arrange a professional voice recording or text-to-speech, along with the right pace and delivery style. Multiple language versions can be prepared for different audiences.

The amount of text, number of languages, and voiceover method affect the cost.

If this is relevant to your business, we can discuss it together with the IVR menu. The availability of internal calls without additional charges and the expected savings depend on your setup and service terms.

ANSWERS BEFORE CONNECTION

Frequently Asked Questions about IVR

A voice greeting only plays a message. An interactive menu also offers choices and performs an action based on the key pressed: routing the call, playing information, or launching another scenario.

A separate scenario can be configured for evenings, weekends, and holidays. It can announce business hours or invite the caller to leave a message. This does not mean that a live employee is available 24/7.

A separate action is configured for no selection or an invalid selection, such as repeating the menu or routing the call to an agreed destination. It is tested before launch.

Yes. The scenario can be updated. Self-service editing options and available settings depend on the configuration and user permissions.

Multiple language versions can be prepared, with switching between them configured as needed. The number of recordings and voiceover method are included in the quote.

This is possible when a compatible CRM integration is connected and configured appropriately. The voice menu itself does not automatically create a CRM integration.

Interactive scenarios with answer selection are possible. Outbound surveys, mass notifications, and data exchange with external systems require separate configuration and approval.

In the cloud solution, the menu runs on the service side. Requirements for phones, internet connectivity, and the existing PBX are clarified when selecting the connection setup.

The Stream Telecom page lists pricing from UAH 300. The final amount depends on the structure, voiceover, languages, and configuration. The scope of work and payment terms are agreed in the proposal.
